Meet the team

The Managed Legal Services team supports Shakespeare Martineau with legal process management, paralegal support, client discovery, due diligence, discovery, data intelligence, knowledge management and client management services. The role of this team is to help improve efficiencies and the client experience by supporting our fee earning teams.

The opportunity

To provide support to the Post Completion Team Supervisor and a team of Solicitors and Conveyancers

  • Preparation, submission and payment of the Stamp Duty Land Tax
  • Preparation and Submission of AP1/FR1’s applications to HM Land Registry
  • Liaising with third parties to obtain certificates, discharges and other documents
  • Dealing with any necessary notices that need to be given to any third parties such as landlords
  • Keeping a  strict diary note of deadlines and timescales whilst in control of the file
  • Reply to requisitions and diarise requisitions deadlines received and to respond to the same within the time frames provided by the Land Registry
  • Maintaining data on Excel spreadsheets to ensure they are accurate and up to date
  • Dealing with any balances on account, together with any retentions in accordance with the firms policy
  • Dealing with Deeds requests
  • Closing and archiving files once all post completion matters and balances have been dealt with
  • Liaise with Help to Buy post completion team to ensure undertakings are adhered to in a timely manner
  • Updating lenders portals wherever necessary
  • Updating and responding promptly to any requests from lenders and clients on the progress of registrations
  • Sending copy completed registrations to clients and lenders, along with any other documents that may be required by lender
  • Diarise and manage deadlines for OS1/OS2 expiry dates
  • assisting with financial administration, liaising with the finance team, processing cheque requests and expenses, preparation and despatch of invoices and collecting payment
  • General administrative duties
  • Driving performance against relevant service standards

What you’ll need:

  • At least one year solid conveyancing experience
  • An in-depth understanding of post completions matters
  • Confidence with IT systems to include Microsoft Word and Excel
